Measure the current response path
Select one real enquiry source and trace a recent sample from submission to first human response. Record acknowledgement time, qualification time, owner assignment, first-response time and the share that received a documented next action. Separate measured facts from assumptions before proposing automation.

Check whether useful context survives capture
Confirm that source, campaign, enquiry type, product or service interest, urgency and consent reach the system used by Sales. More form fields are not automatically better; progressive qualification should capture only the information required for the next decision.

Make ownership and service levels explicit
Define who owns a new enquiry, when ownership begins, the expected first-response window and what happens when an owner is unavailable. An automation should expose unassigned or overdue work without hiding responsibility behind a generic queue.

Inspect whether calls, messages, outcomes and next steps are visible in one operating record. The goal is not to automate the buyer conversation. It is to prevent context loss, duplicated contact, silent delays and opportunities with no accountable next action.

Pilot one source, one routing path and one measurable service level. Compare response time, assignment completeness, follow-up visibility and qualified-conversation rate before expanding to more channels or introducing AI-assisted classification.
